Join the IDPH team as an Event Planning Intern for the Deputy Directors Office and gain hands-on experience in organizing a variety of meetings and events throughout the state. This internship offers an excellent opportunity to develop skills in budgeting, contract negotiation, logistics coordination, hospitality management, and ability to attend meetings/events providing insight into the role of public health directors and strategies.
Location: Springfield, IL or Chicago, IL (Hybrid)
Responsibilities:
- Assist in planning both in-person and remote meetings across multiple locations.
- Research and secure suitable meeting spaces, ensuring they meet event requirements.
- Coordinate logistics such as luncheons, dinners, and evening activities.
- Identify hotels offering state rates and manage accommodation arrangements.
- Arrange transportation logistics for attendees.
- Coordinate rental of audiovisual equipment and other necessary items.
- Plan meeting room setups based on event needs.
- Manage attendee headcount and special meal requirements.
- Handle any additional logistical needs as they arise.
Requirements:
- Currently enrolled undergraduate or graduate student interested in event planning (Hospitality, Business, Communications, or similar major preferred).
- Able to work approximately 10 hours a week.
- Travel to meetings may be required and accommodations will be paid for by the agency.
- Strong organizational skills with attention to detail.
- Ability to manage budgets, read contracts, and conduct cost comparisons.
- Proficiency in writing specifications and reading contracts.
- Demonstrated hospitality and customer service skills.
- Detail planning and hospitality.
Duration and Compensation:
The internship will be unpaid and part time for approximately 10 hours per week and will start at the end of August. This position will be hybrid with travel to Springfield or Chicago and possibly other locations throughout the state. Academic credit may be available depending on your institution's guidelines.
