Have you ever had a departing researcher request to permanently transfer a piece of equipment with them to their new institution when they leave the University of Illinois System? If so, see below for guidance on how to handle these types of requests:
- Allowing a departing researcher to permanently transfer equipment with them to their new institution requires several layers of approval within the U of I System.
- Once all approvals within the U of I System have been granted, final approval from the Department of Central Management Services (CMS) at the State of Illinois must be granted as well.

- University Policy and State regulations don’t provide any option for departing employees to personally retain U of I System equipment. The State of Illinois and CMS will not approve any permanent transfers of equipment to individuals, and limits approved transfers to educational, governmental, and not for profit institutions.
